JOB SUMMARY Working under direct supervision, provides routine day-to-day operations and administrative support for a business unit or large department. Assists in coordination of budget, process improvement, controls for specialized software and other functions enabling the department to meet objectives in an effective and efficient manner. The engineering maintenance planner will work within the NJ Campus Engineering Operations department, under direction of the Senior Engineering Manager, working in coordination with the Americas Engineering Management Team
ESSENTIAL DUTIES AND RESPONSIBILITIES Analyzes monthly department budget reports to maintain expense controls. Prepares commentary and explanation of variances for management review. Assists in systems administration for specialized software utilized by the business group to support its operations. Researches and resolves routine support issues. Follows-up to ensure open issues are resolved. Assists in preparing user reference material. Troubleshoots and resolves simple inquiries and requests from internal and external clients. Reviews and monitors department processes and procedures to identify opportunities to improve service delivery to internal and external customers. May network with external contacts to research and recommend best practices. Coordinates budget preparation. Researches and collects input from multiple internal and external resources. Compiles a variety of operating, financial and statistical information as needed to respond to management requests. Coordinates work with other departments. May add commentary to complete analysis reports and proposals. Assists in communication of best practices, policies, procedures and initiatives to support operations. Helps to facilitate process improvement by engaging appropriate resources in issue identification and resolution. Assists in developing project plans and costs, including personnel and fiscal requirements to achieve defined objectives. May provide periodic updates relative to project resource and fiscal plans. Performs other duties as assigned.
Information Collection & Dissemination
Gather maintenance information from vendors directly (ie reports, documentation, proposals, etc.)
Categorize & organize the information (Coordinate proper uploads to Asite)
Downstream the information into the client/CBRE storage programs. Ensure information is named and categorized in a useable format
Inventory control and input to 7I system with CE & ACE assistance (Parts management)
Ensure critical system meeting information is up to date & critical weekend review information is up to date with CE& ACE assistance. (Tuesday and Thursday meetings)
Maintenance Tasks 7i input & Closeout
Assist Engineering Operations leads plan & input future year's schedule into the 7I format built off of last year's schedule.
Track and inform CE & ACE if maintenance tasks aren't being closed on time.
Verify labor hours are properly tracked on a monthly basis within the CMMS system
Work with the team to ensure the work flow& information is being captured in the proper management tracking systems
Provide regular reporting on the above tasks as well as ad-hoc reporting per client request
Data Center Field (DCF) Cabinet electrical allocation
Assist CBRE Management in bidding out circuit work scope to be provided by IT & the CE & ACE as needed
Ensure the procurement policies are followed& documented.
Assist Engineering Management in reviewing power& cooling allocations for new technology equipment requests. Ensure cabinet, circuits & room designs are not exceeded by using the Fieldveiw& CaRS systems. Manage overall room/system capacities
Monitor and address communication alarms, circuit load alarms, and configuration issues within the Fieldview remote monitoring system
Assisting in administration of operational project management within the Americas region
Develop and review Methods of Procedure (MOP) for planned project work and scheduled maintenances
Support weekend work as needed
SUPERVISORY RESPONSIBILITIES No formal supervisory responsibilities in this position. Provides informal assistance such as technical guidance, and/or training to coworkers. May lead project teams and/or plan, and supervise assignments of lower level employees.

EDUCATION and EXPERIENCE Bachelor's Degree (BA/BS) or equivalent from four year college or university plus a minimum of two years related work experience to include budgeting, finance and or business analytics; or equivalent combination of education and experience. Work experience related to specific department or business unit function preferred.

OTHER SKILLS and ABILITIES Advanced proficiency in Microsoft Office Suite. Spreadsheet skill set to include advanced functions such as graphics, pivot tables.
